Who we are

Sales Assist AI ("we", "us") provides an automated business development agent service to car dealerships in Canada. Our address for privacy matters is hello@salesassistai.com.

What this policy covers

This policy covers two kinds of personal information: what we collect from visitors to salesassistai.com, and what we process on behalf of dealerships that use our service.

Visitors to this website

When you book a demo we collect your name, dealership, mobile number and work email. We use them to set up the demo and to follow up about the product. We do not sell them and we do not add you to any list you did not ask for.

The website itself does not use advertising cookies. Our hosting provider records ordinary server logs (IP address, browser, pages requested) for security and reliability.

Dealership customers

When a dealership uses our service, we process the personal information of its customers on the dealership's behalf: names, phone numbers, email addresses, the vehicles they asked about, and the messages exchanged. The dealership is the organization responsible for that information under Canadian privacy law. We act on its instructions and under our agreement with it.

We use that information only to provide the service: to answer the customer, to follow up, to book appointments, and to report to the dealership. We do not use dealership customer information to train general-purpose AI models.

Consent and opting out

Messages sent by the service comply with Canada's Anti-Spam Legislation (CASL). Every text and email identifies the dealership and offers a way to stop. Replying STOP to a text, or using the unsubscribe link in an email, ends messages from that dealership. We keep a record of consent and opt-outs.

Service providers

We use a small number of providers to run the service: Amazon Web Services (hosting and email delivery), Supabase (database), Twilio (text messaging) and Anthropic (the language model). Each processes information only to provide its service to us. Data may be stored or processed in the United States.

Retention

Website inquiries are kept for as long as we are in contact with you, and deleted on request. Dealership customer information is kept for the life of our agreement with the dealership and deleted or returned when it ends, subject to any legal obligation to keep records.

Your rights

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. If the information belongs to a dealership's records we will pass your request to the dealership and help it respond. Write to hello@salesassistai.com.

Security

Information is encrypted in transit and at rest. Access to dealership data is restricted by role and enforced in the database, not only in the interface.

Changes

We will post any change to this policy on this page with a new date.
